Roles and Responsibilities
Setting an orgnisation chart / roles and responsibility was the first stage of our team formation.
The organisation chart allows a clear communication, delegation and goals.
This is a 'by function' structure to cover the main aspects of the project. Additionally, it is useful in big teams as this shows the overall in-charge(s), partners or external users, the hierachy; who to approach for specific tasks or who to enquire from and how big the team is.
This is useful as it provides us with a sense of responsibility to contribute and take charge of an aspect of the end-product. Allowing more efficiency and effectieness in work distribution.

5 Fingers - Structured goal and wrap up

This method of reflection can be used as a quick check-in and wrap up the project with all the participants. It can be utilized to quickly gauge what each group member is learning, understanding, and feeling about the activity. As a team these were our thoughts:

Things that went well: As a team that worked cohesively and harmoniously. We were proud of the outcome of the project. How we started from just an idea to what was produced. Without much experience or knowledge about ecotherapy or VR, we learned and produced a kit. We managed to keep on task and on time, each responsible for an aspect of the tool kit. We developed a different outlook and perspective of a different group of community.

Things that were frustrating:
First of all, the accurate way of creating a Gantt chart was hard to get right. It took countless amendments and changes to organise it. Based on the production aspect, we were not very competent in video editing or the VR concept, hence it was a struggle to handle an aspect so crucial in this project. Additionally, with insufficient funds, we were also unable to invest in a decent camera for its purpose. Fearing that our content might cause dizziness due to the way it was filmed.
All in all, not being able to reach our to the physically disabled community, it was harder to focus on specific challenges and issues they might face.

Things that we beyond our control: There was an outbreak of COVID19 in March 2020, the economy was unstable and organisations were not fully operating due to the uncertainty. We were not able to live as per normal. Community mapping was restricted due to the miscommunication/ lack of interest and their organisation logistics issues. The waiting time/ delivery schedule of our logistics took a lot longer due to this as well.
A big factor of ecotherapy is the wildlife and nature, however, we could not control the weather and frequency of encountering them.

Things we neglected: On what we mentioned above, we should have fundraised earlier to invest in better equipment. We could have cast a wider net of the target from the beginner to prevent what we encountered. We could have also planned in advance for courses on video editing or photography to be prepared. Community mapping based on previous volunteering or interacting experience so that we would not be affected by this during our empathy phase. We had 3 outings for the production and were not able to get much wildlife in them hence we might have better luck, with more time invested. However, we adapted to the outing with less footage, making it into a trailer.

Human qualities that helped: In conclusion, trust gained through our team formation and empathy towards our target community motivated us to persist. As a leader, it is also important to set goals and be of example to your members. If you are reliable, it motivates and sets a social norm for others to reciprocate.

Pause: In every project, it is good to stop and reminisce a good and bad episode - this helps unpack learning points. For me, the end product was my high and the community mapping was my low.

Play: This means you have to continue to play by your strength. Be it organising, teamwork or being reliable.
Stop: The opposite of play, this is to stop or work on your weakness. One of the points made we that we assume that organisations with lesser followers would be more responsive. It was not the case.

Fast forward to the end: We learnt to be more flexible and prepared before and during the start of a project. As we are all learning, being open to different challenges and adapting to the situations is normal in projects. Importantly, in a team, communication is key as without it the structure of the project would breakdown.
