Setting an orgnisation chart / roles and responsibility was the first stage of our team formation.
The organisation chart allows a clear communication, delegation and goals.
This is a 'by function' structure to cover the main aspects of the project. Additionally, it is useful in big teams as this shows the overall in-charge(s), partners or external users, the hierachy; who to approach for specific tasks or who to enquire from and how big the team is.
This is useful as it provides us with a sense of responsibility to contribute and take charge of an aspect of the end-product. Allowing more efficiency and effectieness in work distribution.

Work Breakdown Structure
(WBS)
Using Miro, (clearer weblink here), the tasks and specific components are shown. The purpose of WBS is to organise the entire project. Breaking major tasks into smaller components made the process manageable. At the end of the day, ensuring all aspects are covered and handled.
My group chose to use Miro, a collaborative online tool, similar to a whiteboard. As due to the circuit breaker, instead of physically sticking or drawing out our plan, we called and collaborated. By listing the logistics and breakdown of the work, the team is able to see the wider picture.

Google Form
Alternatively, to keep on task, discussions and meetings are tracked using Google Forms. This is a multi-purpose tool that can conduct surveys and gather data/feedback but also in our case, keep track of attendance.
The google form is not crucial, but it is a good supporting tool. Managing of tasks requires communication and commitment from members. Therefore, to track our meetings and discussions. We created a google forms attendance sheet for administrative purposes. This is useful as it allows us to counter-check our meetings and update whoever is absent for that discussion/meeting.
I am a firm believer in visualising, as being able to see the overall project goal, everyone will be on the same page. Plus side to it being online and portable, it is easily referable. This doubles as a checking list that nothing is missed out and points are clearly stated.

This tool is useful as seen below, our project consisted of many different logistics and dependent tasks. Miro along with the organisation chart helped us make our processes clearer, based on the responsibilities and the sub-tasks, each member assigned is able to work remotely on it.
